What this studio holds about you, why, and who else sees it. Written from what the booking system actually does rather than from a template.
What we hold
- Your name, email address and phone number, so we can confirm a booking and reach you about it.
- Your bookings — when, how long, what you paid, and any notes you added.
- Your signatures on the terms and the card authority, with the wording that was on screen at the time.
- A company name and billing address, if you book as a business and give us one.
- Notes we make about a hire — for example if the studio was left untidy.
What we don’t hold
Your card number. Payment happens on Stripe’s own pages and the card stays with Stripe. What reaches us is the brand and the last four digits. There is no card number in this system to lose.
Door codes
Your 6-digit entry code is created for one booking, sent to you about two hours before it starts, and stops working when the booking ends. It is never shown in our own console, never printed on an invoice or agreement, and never included in a backup. If you ask us what your code is, we send it to you again rather than read it out.
Who else sees it
We use four services, and only these:
- Stripe — payments and the card held on file.
- Resend — sending email. Every confirmation, code and invoice goes through them.
- Supabase — the database behind the booking system, hosted in the EU.
- SwitchBot — the keypad on the door, which receives the code and its start and end times.
We also put your booking in our own Google Calendar so the studio knows the room is taken. We do not sell anything to anybody, and we do not use your details for advertising.
How long
Bookings, payments, invoices and signatures are kept for six years, because they are accounting and contract records. Door codes are removed from the keypad once the booking is over. If you ask us to delete your details and you have no invoices or payments on file, we delete the record; where we cannot, we tell you why.
Your rights
You can ask for a copy of what we hold, ask us to correct it, or ask us to delete it. Email info@stepsstudiosuk.com and we will answer within 30 days. If you are not happy with the answer, you can complain to the Information Commissioner’s Office at ico.org.uk.
